Getting Started
RPG Desk is completely free to use! All core features including campaign creation, session scheduling, player management, and notifications are available at no cost. Some campaigns may charge players directly for participation, but the platform itself is free.
Creating an account is quick and easy:
- 1. Click "Register" in the header or footer
- 2. Enter your email address and create a password
- 3. Set your preferred timezone
- 4. Check your email and click the verification link
Email verification helps us ensure account security and enables important features like session notifications. Without verifying your email, you won't be able to create campaigns, join sessions, or receive automated notifications when sessions are confirmed or cancelled.
RPG Desk automatically converts all session times to your local timezone. Simply select your timezone from the dropdown in the header. All session listings, confirmation emails, and calendar links will display times in your timezone. This makes it easy to coordinate games with players from around the world!
Campaign Management
Public campaigns discoverable by everyone Public campaigns are visible to everyone on the platform and appear in campaign browsing pages. Anyone can view and apply to join them.
Private campaigns for exclusive groups Private campaigns are not listed publicly. Only players who receive the shareable link can view and apply. This is perfect for exclusive groups or campaigns in progress that you want to keep private.
Navigate to your campaign and click on the "Players" tab. You'll see all pending applications. You can:
- Approve: Accept the player into your campaign
- Reject: Decline their application
- Remove/Ban: Remove existing players or ban them from returning
When you share a campaign link, anyone with that link can:
- View all campaign details
- See upcoming sessions
- Apply to join the campaign
They cannot post in chat or manage the campaign unless you approve their application. You can refresh the link anytime to invalidate old links.
Yes! As the Game Master, you can edit any aspect of your campaign at any time. Go to "My Campaigns (GM)" in the header, click on your campaign, then select "Edit Campaign." You can update the title, description, cover image, player limits, visibility settings, and more. Changes take effect immediately.
Sessions
Minimum players is the smallest number of confirmed players needed for the session to proceed. When a session reaches its minimum player count:
- All approved players receive a confirmation email
- They can add the session to their calendar
- The session is officially confirmed to happen
If attendance drops below the minimum, cancellation emails are automatically sent to inform all players.
The session confirmation process is automatic:
- 1. Players join the session and confirm their attendance
- 2. When the session reaches its minimum player requirement, all approved campaign players are notified via email
- 3. The confirmation email includes session details and a Google Calendar link
- 4. If a confirmed player leaves and drops attendance below minimum, cancellation emails are sent automatically
When you leave a session:
- If the session was above minimum players and will drop below after you leave, you'll see a warning
- If leaving drops it below minimum, cancellation emails are sent to all participants
- You can rejoin the session anytime before it starts
This prevents last-minute session cancellations and ensures everyone has a great experience.
Yes! As the Game Master, you can edit the session date, time, duration, minimum players, or chapter name anytime. You can also delete the session entirely if needed. Simply go to the Sessions tab in your campaign and use the edit or delete buttons.
Notifications & Emails
Confirmation emails are sent automatically when a session reaches its minimum player requirement. If you didn't receive one:
- Check your spam/junk folder
- Verify your email address in your account settings
- Make sure you're an approved player in the campaign
- Check that the session has reached its minimum player count
Every session confirmation email includes an "Add to Google Calendar" button. When you click it:
- Google Calendar opens with all session details pre-filled
- The start time, duration, and end time are set correctly
- Campaign details and a link to the session are included
- Just click "Save" to add it to your calendar
Chat & Communication
Only approved players and the Game Master can participate in the campaign chat. Pending applications can view the campaign but cannot chat. This ensures a safe and focused communication environment for active participants.
RPG Desk uses rate limiting to prevent spam and keep conversations focused. You can send one message every few seconds (the exact interval is configured by the server). If you try to send messages too quickly, you'll see a friendly error message showing how long to wait before your next message. This helps maintain quality communication in all campaigns.
Yes! Each of your messages has a delete button. You can remove any message you've sent at any time. This gives you control over your communications and allows you to correct mistakes or remove messages you no longer want visible.
Campaign Chat Chat messages are for real-time conversations, quick questions, and casual communication. They're part of an ongoing stream of messages.
Campaign Posts Posts are for important announcements, campaign updates, and messages that should be easily found later. Only the Game Master can create posts, and they're perfect for session reminders, rule clarifications, or campaign-wide notices. Posts are persistent and separate from the chat.
